I. SAM Council member Ryan Hurley (m swimming) called the meeting to order and introduced Phil Gates, Life Skills Director:
II. Mr. Gates introduced Dean Allen Groves, Associate Vice President and Dean of Students in the Office of the Dean of Students. Dean Groves spoke and welcomed any and all student contact: Phone number: 434/924-7429; cell: 434/964-6780; awg8vd@virginia.edu. The Dean of Students Office participates in Disciplinary Action, Resident’s Life, Orientation of First Year Students, Transfers, and the On-Call Program, which is 24/7 where they receive calls for students who may be in trouble; located on second floor of Peabody Hall. Dean Groves is an alumnus of the University of Virginia’s law school.

5. reminded about: Feb. 8: Nat’l Girls & Women in Sports Day Celebration will be to honor the retirement of Barbara Kelly at the W-Basketball game. Barbara Kelly is an Assistant Athletics Director with the Athletics Department and was instrumental in the beginning of Women’s Athletics.
6. alerted about: upcoming African American Heritage Month and the Athletics event celebrating the Contributions of African Americans to Athletics; it’s tentatively scheduled for Tuesday, Feb 17. Will show a documentary with a moderator and a light meal.

IV. Ryan Hurley (m swimming) led an Icebreaker: student-athletes demonstrating others’ sports by saying their names and acting out their sports.
V. Pete Ferrara (wrestling) announced that this semester’s student-athlete visitation program to the UVA Children’s Hospital will take place on Wednesdays from 1:00pm-2:00pm

VI. ACE Program and Guys Read Possibility: Ryan Hurley (m swimming), Lauren Elstein (field hockey) and Casey Steffan (softball) spoke about the ACE program where student-athletes go out and spend time with area school students as tutors and informal mentors. National Reading Week is Monday, March 2-Friday, March 6, and Ms. Fitzgerald also hopes to create a program called Guys Read; contact Phil Gates @434/982-5781 ( pag4b@virginia.edu ) or Natalie Fitzgerald, Athletics Academic Coordinator; 434/982-4941; (ncf7m@virginia.edu).

VIII. UGuides JPJ Tours: Ryan Hurley (m swimming) spoke about tours of John Paul Jones Arena depicting UVA athletics history and information; these are coordinated and scheduled by the UGuides Program on Fridays for the remainder of the school year @1:00pm excluding Spring Break Week. IX. Dodgeball Poll (SAM Council): Casey Steffan (softball), Lauren Elstein (field hockey) and Pete Ferrara (wrestling) talked about a dodge ball tournament for all student-athletes to participate in as a fund-raiser. The charge for this event is up in the air (perhaps $10.00 a person or it may be $5.00). Would take place at Mem Gym on Monday, March 16 and could include (non-student athletes). Between 8 and 10 people per team, per sport, unless the sport is large and more student-athletes want to play.
-need permission from coaches and administration for student-athletes to participate in a sport other than the one they participate in due to a possible injury.

X. Apple Conference: Phil Gates, Casey Steffan, (softball), Lauren Elstein (field hockey) and Jordan Orr (m track)} are attending the Apple Conference Jan. 30, 31 and Feb. 1 (Friday, Saturday and Sunday) at the Doubletree Hotel in Charlottesville. The conference is sponsored by the NCAA through CASE to learn about leadership and substance use and abuse. XI.Shoot Out: Nick Meros (m tennis) and Casey Steffan (softball) talked about changing the site and day of Shoot Out if the SAM’s coincided with the Athletics Dept. to sponsor Shoot Out in front of Observatory Dining Hall. Are considering having on same day as the Spring Football game, April 18 from 10:30am-1:00pm.

SAM Meeting Minutes, Dec. 7, 2008
The meeting opened with CAPS Counselor Rafael Triana (rt9x@Virginia.EDU; 434-924-5556) inviting student-athletes to talk about and discuss their concerns and questions regarding the passing of Will Barrow for about 35 minutes. He invites student-athletes to be in touch with any future questions or concerns.
The SAMs then set up tables to fill and organize SAM Care Packages. Team SAMs took the packages belonging to their team mates to deliver them. There were approximately 170 Care Packages purchased for @ $2550 total. The proceeds will be used as seed money for Shoot-Out support.
Ashley Crockett from CASE and Life Skills Director Phil Gates encouraged SAM to be thoughtful and careful over Winter Break and to pay attention to the needs of the teammates.

Dr. Douvas, recipient of funds from last spring’s Shoot Out, wrote a thank you and update letter that Ryan Hurley (men’s swimming) read and passed to the SAMs.

Expectations
- At least one community service per team per year
- At least two presentations – 1 being about substance use & misuse
- Each team to identify a Point SAM who will be responsible for documenting Presentations and Community Service online and also will be the communications point person between SAM Council and team SAMs. Email Phil Gates (pgates@virginia.edu) which SAM on your team will be the Point SAM.
- Attend monthly meeting
- Act as resource for teammates on issue of substance use and misuse
- Use as resource for student-athletes to get involved in Athletics and University communities as well as greater Charlottesville community
- Participate in as many of the several events that we have through the year as possible …as well as EVERYONE helping with Game Night and Shoot Out

4. Ashley Crockett, CASE Health Educator, led training for SAMs in Substance Use and Misuse Education.
SAMs should ALL read and be familiar with the section of their Student Athlete Planners/Handbooks that address Athletics Dept. and UVA Policy regarding Drug and Alcohol policy beginning on page 69.
Ashley will repeat her presentation on Monday, Sept. 22 at 7pm in the Life Skills Center for ALL SAMs who did not attend the Sept. 7 meeting. Attending this training is MANDATORY for being a SAM. Coaches and SAM nominees who were unable to attend the Sept. 7 meeting will be notified/reminded of the Sept. 22 meeting.

For the majority of the evening, the SAM’s worked together to assemble nearly 200 care packages for student athletes whose parents sent money for. These care packages contained many items, all geared towards helping the student athletes succeed during finals week.
After the care packages were finished the SAM’s spoke briefly about what charity they would like to support for Shoot Out for Cancer. It is likely that the foundation benefiting from ShootOut will be the new UVa Cancer Center which is still in the stages of raising money to build within the next year or two.

SAM Meeting Minutes
1. Allen Groves, new Dean of Students introduced himself to the SAMs
a. He is the Interim Dean of Students (one year term). His office is in Peabody hall on the second floor.
b. Not only responsible for disciplinary action. Also does clearances for study abroad, med school, law school, etc.
c. They’re a resource and we should use them! He also attends a lot of small and large sports events.
d. SAAW- Dean Groves thought it went well! He attended the kick off at small collections library. Fourth Year fifth issues- on the lawn fights. A lot of people that did not behave well this weekend (police reports). Thinks people are doing much better at looking out for one another.
2. Holly Deering (CASE) submitted a survey for the SAMs.
a. Survey is for a project which is an assessment of SAM programs (UVA started the Sam program ten years ago). This survey will help her to create the national survey.
3. Michael Hagos recapped water distribution from last week for Student Alcohol Awareness Week (SAAW)
a. Went very well. Took a lot of planning but turned out to be very successful.
4. Ashley Crockett summarized SAAW generally
a. Formal evaluation will be happening soon. Susan Grossman memorial speaker was very interesting and informative.
5. Meghan O’Leary talked about Game Night. Thursday, November 29 from 6-8pm
a. Pizza will be first, tshirts later. The whole point of game night is to bring all athletes out and hang out, not get the tshirt and leave.
6. Discuss potential recipients of ShootOut fundraising (Melissa)
a. Andrew talked about Rally Foundation for Pediatric cancer. Working on being a United Way corporation. There are a lot of opportunities with this foundation.
7. Care packages: each parent is going to receive a notice with a card and send 15 dollars back for care packages as a good luck for their children during exam week. Profits are the seed money for shootout (moon-bounce, generator, buy food we have to sell)

a. New Athletic Dept. nutritionist. He has two offices. One at JPJ behind cookie table and the other is in McCue weight room.
b. He can also be used as one of your teams two presentations required for the year, but don’t wait to schedule him!

a. Minutes and attendance of each meeting will be on the website by the Thursday following meeting night.

i. Halloween night- Burleigh middle school does an alternative Halloween for kids and would love to have as many athletes volunteer as possible.
3. Bottled Water Project for Substance Abuse awareness week
a. Handing out water bottles to encourage not only drinking water but also healthy choices.
i. October 31, November 1 and November 3
b. 9pm-12am Wednesday, Thursday, Friday and Saturday (before the game).
i. Two different spots. Bodo’s and Little Johns. 90 minute shifts.
ii. We are working on getting that water for free. We have some, but not enough and are welcoming donations or ideas of where to get it.
4. Game night is November 27th. Need t-shirt sizes from teams.
5. Shootout for Cancer
a. We need to figure out what cancer organization we want to sponsor.
i. In the past it has been the Jennifer foundation, but has become increasingly difficult.
ii. Anyone you want to contact let the SAM’s know and they will be you a donor letter.

1. Introduce Ashley- 3 minutes about her role with the SAM’s.- health educator from center for alcohol education. APPLE conferences on wellness and prevention.
2. What the SAM’s are all about- goals first than expectations after- Kyle Rudzinski
a. They are a resource to your teammates. Be someone your teammates feel comfortable approaching.
b. Substance Abuse- be responsible and help your team be the same way.
3. Ashley will talk about dispelling myths about drinking.
a. Is it safe to always give a drunken person water?
i. NO. Because it accelerates absorption, making their BAC rise, causing you to vomit. Also don’t give person food or induce vomiting. Coffee will not help you sober up.
4. General overview of what the Project SAM’s do:
a. Tell people they are to commit to one project during the year, and then we will all work on Shoot Out together.
5. Expectations for each team.
a. Community service event

i. Putting together a list of great presentations; New Sustained Dialogue option; etc.

ICE BREAKER- two truths and a lie

a. Promote health and safety for student athletes

d. Represent student athletes respectfully in the larger Uva/Cville community
e. Watch our for the first year student athletes.
Events/Projects:
- Game night (Meghan and Alyssa)
- Kyle- Shootout for Cancer and substance abuse awareness week- university awareness to help deter the 4th year 5th.
Ideas- This year we’re going into the community and hang out on the corner for 2 or 3 nights leading up to the Saturday of 4th year 5th with water that have labels advising against it.
- Shootout for Cancer: in the spring, we need ideas NOW of charity we want to sponsor. Mjc5t@virginia.edu for your ideas. Held in Mad Bowl.
- Mid-Autumns Carnival on September 15.
- Care packages: right before exams. SAM’s send a letter home to your parents. If they decide to send you a care package it will arrive right before exams. This raises a little money for the committee to use throughout the year.
- HOOSPORTS: want to get all SA’s out to watch each teams event.
Other:
• More social events associated with the SAAC’s.
• Joe: Want to bring Brad Corgan to UVa this spring and have a daylong event. March 23rd. This will be to bridge the gap between the town and the University. Jdd6c@virginia.edu
• Phil: Community service opportunities. Every team has to do one during the year, as well as a presentation (ie: substance abuse, etc).
o ACE- Football team started it. Go in pairs assigned to a classroom at Buford Middle School and work with the students twice a month.
o Hospital Visitation program: Kelly Quinn and Julia Falk, Pete coordinating for FORCE. Wednesdays for the first four weeks. The rest of the semester on Fridays.
- We opened with the “Evolution of dance” video on YouTube by Judson Laippley who was the keynote speaker at the Apple Conference. He spoke on how to prepare yourself for success in an everchanging environment.
- Kyle Rudzinski, Kara Frederick, James Erickson and Meghan O’Leary talked about the make-up of the Apple conference. The conference consists of student athletes and administration from over 40 schools that assess and find aspects of improvement for their programs.
- These members concluded that most student-athletes do not know the intricacies of random drug testing, individual team policy, compliance, etc. Thus, they would like to add a section to compliance meetings that would allow the SAMs from their respective teams along with SAMs from other teams to give a presentation stating what SAM’s roles are and present the team policy for drug/substance misuses. This would highlight the process, so that people will be more aware of the consequences of failing drug tests as well as give the student-athletes more of a sense of ownership for the procedures and their actions.
- Kerry Maher talked about hospital visits. She said that they are doing visits again at 1pm on Mondays for any student-athlete, just let her know ahead of time.
- Phil Gates talked about Buford Middle School and chances for community service. Buford requested speakers to middle school-ers as well as people to tutor. It would be preferable if the tutors were in the off-season. He also talked about a community service project for a team interested, ‘Hoops for Heart’
- James Erickson talked about the new outlook of ShootOut. There are new sub-committees that include: fundraising, advertising, marketing for community, marketing for student council, and silent action. The sub-committees will host all of the SAMs in hopes that everyone will participate in Shootout.
- We broke into the sub-committees and formed our goals and objectives leading up to Shootout.
